Automated client reminders

Overview

To set up client reminders in OVIAH, go to Reminders in the Business Operations menu and toggle email and SMS notifications at 24-hour and 2-hour intervals.

How reminders work

OVIAH automatically sends reminders to clients before their appointments. You configure the timing and channels once, and the automation system handles everything — no manual follow-up needed.

All reminder settings live under Reminders in the Business Operations menu of your dashboard.

Email reminders

Email reminders are available on all plans. You can send them at multiple intervals — the most common setup is 24 hours and 2 hours before the appointment. Toggle each timing on or off depending on what works for your clients.

Emails include the appointment date, time, service, and your business info. They're sent via Resend so they land in inboxes reliably.

SMS reminders

SMS reminders are available on Studio Pro or as an add-on. Text messages get opened faster than emails and are especially effective for same-day reminders. Like email, you can configure 24-hour and 2-hour timing.

SMS messages are sent via Twilio. Your plan includes a monthly SMS allowance — 500 on Studio, 2,000 on Studio Pro. Usage beyond that is $0.02 per message.

Tip
The 2-hour SMS reminder is the single most effective no-show prevention tool. Clients who get a text the morning of or a couple hours before are significantly more likely to show up or reschedule in time for you to fill the slot.

Follow-up emails

After an appointment, OVIAH can send an automated follow-up email. Choose a timing that fits your style: 24 hours, 48 hours, 1 week, 2 weeks, or 1 month after the visit. Use it to thank clients, ask for reviews, or prompt them to rebook.

Birthday wishes

If you have clients' birthdays on file, OVIAH can send an automated birthday email. It's a small touch that builds loyalty and keeps your name in their inbox at a moment that feels personal. Available on Studio Pro.
