Notes and appointment history
Overview
To add notes to a client in OVIAH, open their profile in the Clients tab — use Notes for general preferences, Internal Notes for private reminders, and the history section to review every past appointment.
Client notes
OVIAH gives you two types of notes on every client profile:

Notes
General notes visible in the client profile. Use these for preferences ("always wants extra foils on the left side") or context ("referred by Maya, first visit was a birthday gift").

Internal notes
Private notes for your eyes only. Use these for sensitive info or reminders you don't want to accidentally share — like "tends to run 15 min late" or "prefers not to talk during service."

Special notes and allergies
Dedicated fields for allergies and special requirements. These stand out in the profile so you never miss critical health or safety information.
Booking history
Every client profile includes their complete booking history — past and upcoming appointments with dates, services, add-ons, payment status, and notes. This is your record of the entire relationship.
OVIAH also tracks lifetime stats automatically:

Total bookings and total spent
See at a glance how often someone books and how much they've invested. Useful for identifying your best clients.

No-show and cancellation counts
Track reliability. A high no-show count might mean it's time for a conversation — or a block.
•
Last visit date
See when someone was last in. If a regular hasn't booked in a while, it might be time to reach out.
Take 30 seconds after each appointment to add a quick note to the client's profile. Over time, this builds a knowledge base that lets you deliver a personalized experience every visit — without relying on memory.
